Office Manager

About The Role

Australian Energy Producers is seeking a proactive, highly organised Office Manager Queensland to keep its Brisbane office running smoothly and provide high-quality support to senior leaders and team members.

This trusted, hands-on role will suit someone who enjoys creating order, anticipating what is needed and helping a busy team operate well. You will play a central role across office operations, executive support, stakeholder coordination, systems administration, event logistics and local work health and safety support.

Reporting to the General Manager States & Territories/Director Queensland, you will work closely with senior leaders, Queensland-based team members and colleagues in other states and territories, using your initiative, judgement and attention to detail to help the office run well.

In this role, you will:

  • Coordinate the day-to-day operation of the Brisbane office, including mail, couriers, supplies, stationery, meeting rooms, catering and office presentation.
  • Act as the primary contact for building management, suppliers, contractors, visiting technicians and the external IT provider.
  • Provide executive support to senior leaders, including diary, meeting, correspondence, itinerary and travel coordination.
  • Support Board, member, committee and senior meetings held in Brisbane, including preparation and distribution of meeting papers and coordination of room, catering and visitor requirements.
  • Maintain accurate CRM, member, stakeholder, committee and activity records, including distribution lists and event registrations in HubSpot.
  • Help organise team activities, office events and end-of-year functions.
  • Represent the Brisbane office on the workplace health and safety committee and support a safe, welcoming and well-organised workplace.

About You

You are an organised, capable and service-minded office professional who enjoys variety, takes pride in getting the details right and brings the judgement to balance competing requests in a busy stakeholder environment.

You will be comfortable working in a role where no two days look exactly the same, moving between practical office coordination, discreet executive support and professional engagement with internal and external stakeholders.

You will bring:

  • Demonstrated experience in office management, senior administration or a comparable support-focused role where you have kept office operations running smoothly while supporting a busy team.
  • Experience supporting senior executives or leaders, including diary, meeting, travel and general administration coordination.
  • Strong organisational and prioritisation skills, including the ability to manage competing requests, follow through on details and meet deadlines in a busy stakeholder environment.
  • Excellent written and verbal communication skills, sound professional judgement and a calm, service-oriented approach when dealing with colleagues, members, suppliers and visitors.
  • Strong relationship skills and the confidence to work professionally with internal colleagues, members, government offices, suppliers and other external stakeholders.
  • Confidence using Microsoft 365 and the ability to learn and maintain information accurately in systems such as HubSpot.
  • Experience in a member-based organisation, professional association, government relations environment or similar setting will be highly regarded.

Qualifications:

  • A qualification in business administration, project management or a related discipline will be well regarded, although equivalent practical experience will be valued equally.
